Save the Dates

If your wedding is more than 6 months away, get those save the dates out to your day guests as soon as you can (not evening guests just yet). Your people will thank you for the advanced heads up, whether from a formal card, a sweet handwritten note, or simply an excited phone call or WhatsApp.

Day Invitations

Send your day invitations 6 months before your wedding day with a one month RSVP date. Ideally you want your day guests to have RSVP’d about 5 months before your wedding day.

This gives you time to process the replies and get your table plan sorted well in advance. We ask for your table plan to be uploaded to your portal 3 months before your wedding.

Evening Invitations

These work best sent around 3 months before – any earlier and they tend to get buried. And here’s a little secret: evening guests are notoriously rubbish at RSVPing. Don’t take it personally.

Twilight/Late Ceremonies

If you’re getting married later in the day, you can send invites a bit closer to the time – 3–4 months out works well (assuming you’ve already got those save the dates out there). We recommend you include the specific timings on your invites so guests know exactly what to expect – and don’t turn up hours early!

What to Include

• How to find us (because even with a Sat Nav, the countryside can be tricky!)
• When to arrive – an hour before your ceremony gives everyone time to grab a drink and relax
• Clear RSVP details, including a reply-by-date (consider including an addressed envelope back to you – you’d be suprised how many RSVPs turn up to our address!)
• Accommodation and taxi details
• Gifting information
• Menu options, including somewhere for guests to make their choices and note any dietary requirements or allergies

Pro Tips From Us

Your invitation sets the scene for your wedding day. A rustic kraft paper invite tells a different story than elegant gold foil – make sure yours matches the vibe you want to create and you and your guests will get the most enjoyment from your chosen atmopshere.

Please double check your invites have the correct stamp for their size and weight – you don’t want your guests to have to pay charges, or collect their invites from the post office!

Here’s where you can go to get some wedding stationary inspiration, or wording ideas. 

And lastly, here’s a time-saver: keep all those addresses in a spreadsheet or print two sets of labels. Future you will be grateful when it’s ‘thank you’ card time.

We always recommend wedding insurance – because sometimes life happens, and your peace of mind matters. For honest, unbiased advice on what you actually need, Which’s Wedding Insurance Guide is brilliant.

How It Works

• If you wish to pay in installments these need to be a minimum of £500 please
• 50% of your balance is due 36 weeks before your wedding (we’ll remind you one month ahead)
• Your final balance is due 8 weeks before (another friendly reminder coming your way two weeks before)
• Any last-minute additions or changes made within 8 weeks of your wedding day are settled 2 weeks before, as part of your final sign off. Exciting!

Bank Transfers

You can make payments via bank transfers only. Payment details can be found through your portal by going to your Payment Schedule and selecting ‘Pay Now’ – we’ll never email bank details directly. Please use the reference code the portal provides, or the name of the lead booker. Payments can take a few working days to be processed – once they have been, they’ll appear on the portal.

Stay Safe

If you ever receive an email claiming to be from us with bank details, please let us know immediately. We take your security seriously and will never email bank details directly, except at your specific request and within an existing email thread.

Your Ceremony Music

You can provide your ceremony music on any electrical device with a headphone jack (sorry, no CDs). We use an AUX cable and have all the adapters known to man! Please create playlists that are titled with when your song choices are to be played, for example…

• Before Ceremony – 20 minutes of atmosphere
• Walk In – one song choice – your moment song!
• Register Signing – 10-15 minutes of background magic
• Walk Out – one song choice – your celebration song!
• After Ceremony – keep the good vibes flowing with as many songs as you like, played throughout your drinks reception

Background Music

We have PA systems in both barns and outdoors for an outdoor ceremony or drinks reception. Supply your playlists on an electronic device with a headphone jack and we’ll take care of the rest.

Speeches & Annoucements

A microphone is available for speeches and announcements too.

Our In-House DJ

Included in most packages, our in-house DJ can be replied upon to get the party started! They’ll reach out to you the month before your wedding to chat about your first dance and what kind of music you want throughout the night – the “yes please” and “absolutely not” lists.

Bringing Your Own Band or DJ?

No problem – please just make sure they have PAT-tested equipment and public liability insurance (the boring-but-necessary stuff). We’ll sort timing details in your planning meetings so you can let them know when to set up.

If your disco is in the Hop Barn, please let them know they can access the room only when you have finished enjoying your meal and speeches. If your disco is in Spring Barn, please share the time we have suggested they start playing, so they can arrive and set up in time to get the tunes going!

If you’re having your speeches after your meal, they should arrive at least 30 minutes before your speeches begin. If you’re not having speeches, or are having them earlier in the day, we recommend they arrive an hour before your evening guests. This gives them plenty of time to unload their equipment without causing you any disruption.

At the end of the evening, your suppliers must have left the venue by 1am. Please pre-warn them of this, and that they will have a maximum of 1 hour to take down their equipment.

Some bands will need somewhere to get changed – it’s usually in their contract if they do. We’ve got plenty of space on site and can almost always sort this, just give the weddings team a heads up so we can organise it for the day.

Same goes for food and drink. If your band’s contract includes hospitality (and many do), let us know so we can arrange something suitable for them. Please check if they have any dietary requirements or allergies? Pass those along too and so we can make sure they’re looked after.

We have a noise management plan in place to keep the peace with our countryside neighbours. All music wraps up by midnight, and bands finish by 11pm.

The Harty Estate is set among tranquil countryside and coastline, and we take our responsibility to this landscape seriously. That includes keeping noise levels respectful to our neighbours.

We ask that if you are hiring your own band or DJ, that you please share the below information with them early on. We’re always happy to chat through any questions with them – it’s much easier to sort out beforehand than on the day.

The Need-To-Knows

Visiting acts connect to our speaker system via an XLR patch point. We have adaptors if needed, so don’t worry if your setup is slightly different.

Bands/DJs are welcome to bring their own equipment but must finish their sets no later than 11pm. We do not have a noise limiter, but we do ask that sound does not go over 95db. 

DJs or bands playing after 11pm will need to plug into our speaker system. 

Keeping Them Happy

We love children at weddings! But there are definitely things you can provide to keep them happy and entertained through the more ‘grown up’ parts.

• Activity packs work wonders (colouring pencils only, please – pens and crayons have a way of ending up everywhere)
• A quiz, quiet toy or activity, given just prior to speeches starting will keep them amused
• Board games that can be played in the lounge when little legs get tired (there is also a Smart TV in there)

If you would like additional children’s entertainment or supervision we have a selection of trusted suppliers who can help you.

A Safety Note

The Rose Garden closes in the evening (unless you’ve hired a fire pit and we’ve got staff out there) because it slopes down to the water and isn’t visible from the patio. Children need supervising at all times while they’re here – we’ll keep an eye out too, but ultimately they’re with you.

Here are typical ceremony seating arrangements, with the amount of chairs you should expect per row. These drawings are not to scale, and are simply to give you a sense of the space.

You’ll notice the first two rows on the right are not symmetrical – this is due to the shape of the patio.

The floor plan diagrams shown are not to scale, and are simply to give you an idea of how the different table layout options might look.

Spring Barn Table Planning

Creating your table plan can be both exciting and daunting! We’ll discuss all of the possibilities during your planning meetings.

We recommend you start by choosing your top table shape, how many people will be seated at it, and deciding where in the room you’d like it.

Then split your guests between tables of eight and ten, as much as you can. Don’t forget, children and highchairs both count as seats. If you have hired-in chairs you may be able to seat 11 at a table, however our cross-back chairs are too wide for this.

If you want your top table central under a hoop or hanging decoration, we’ll offset your tables slightly so you’re right underneath it. This gives the best aesthetic.

The maximum capacity is 26 round tables, or 25 rounds plus a ‘sweetheart’ top table. If you’d like a long top table, you can have a maximum of 24 round tables.

A ‘sweetheart’ table for two can be placed anywhere in Spring Barn, in place of 1 round table.

If you want a round top table this can also sit anywhere in the room.

Rectangular ‘feature’ top tables are a speciality of our Gold Recommended stylists.

This table can seat as shown below, or less if you wish. The layout below position the feature table in the ideal place to have a hanging decoration above it, which really wows.

Long Top Table

You might also prefer a long top table along the estuary-facing windows of Spring Barn, however we don’t advise this for summer weddings, as you may end up rather hot with your back to the sun, despite the room’s air conditioning.

Please also be aware that if your top table seats more than nine guests, no round tables can be either side.

Hop Barn Table Planning

Your table plan can take a little time to figure out, but we’ll explore all the options with you during your planning meetings.

We recommend you start by choosing your top table shape, how many people will be seated at it, and deciding where in the room you’d like it.

Tables of eight work best in Hop Barn, with up to three tables of nine or ten if needed (these larger tables need to sit at the sides of the room). Your layout can have a maximum of eight tables in total. Don’t forget, children and highchairs both count as seats.

If you have more than 70 guests, all tables need to be round (including your top table), with five tables of eight and three of ten.

If you’re having a church wedding (and therefore no room change between your ceremony and wedding breakfast) you may be able to have more ’10’ seated tables. Please get in touch with the weddings team and we’ll be happy to advise you.

If you would like a 10-seated round top table, then preferrably this would not be in the centre of the room.

A long top table would need to be placed at the far end of Hop Barn, and can seat up to 12.

You can also replace any of your round tables with a ‘sweetheart’ style top table for two.

If you would like a bespoke table layout we’ll do our best to accommodate this depending on your guest numbers. Please get in touch with the team and we’ll be happy to talk through your vision and advise on suitability and any costs.

We’ll walk through all of this in your planning meetings and provide floorplans to help you visualise it.

Our Trusted Suppliers 

Our Trusted Suppliers can arrive earlier than the 10am set up time and make things nice and easy for you by arranging this directly with us. As they know the venue well and don’t require management help, many of them are also allowed access in the days leading up to your wedding, where possible.

Early Access

If any other other suppliers need early access please get in touch with the wedding team and we’ll do our best to arrange help.

Cakes

If you’re not having a Harty Estate cake, cake providers should arrive between 10am–12pm for full-day weddings, or 1:30pm–3:30pm for Twilight weddings.

Decor Providers 

Access is from 10am with set up complete by midday for full day weddings, or 3:30pm for Twilight weddings – so your guests don’t arrive to a work-in-progress!

Photo Booths 

If you are not having the Harty Estate photobooth, these can either go in Spring Barn or the Hop Barn (by the Spring Barn entrance). If the provider is setting up in the same room as your wedding breakfast, they will only be able to start setting up once you have finished your meal and speeches.

Music Providers 

DJs and bands usually plan their own arrival time based on their set up – often this is between 5–6pm. Let them know what time they need to start playing and they’ll work out the rest.

Bouncy Castle

We suggest 2pm–8pm for your bouncy castle. Your provider can arrive before the ceremony, but we don’t recommend inflating it until after – this way the children stay seated! We have a trusted supplier, if you prefer.

Venue Hire Times

Your venue hire begins at 10am until midnight (unless agreed otherwise), and your suppliers are welcome to arrive from then too. The photo garden closes by 8pm (or earlier if it gets dark) for the safety of children. The bottom of the garden is not visible from the patio and leads to the water.

Your Team

A weddings assistant will be on site before you arrive ready to greet you! While you’re getting aisle-ready, they’ll be getting everything set up for your big day.

Your host will be here between 10–11am and will stay until the evening reception is underway. Before they leave they will say their goodbyes and best wishes, then hand over to another senior staff member who’ll be here for you until closing time. But sincerely, if you need anything at all, at any time throughout your day, you can ask anyone on the team – we’re all here for you.

Your host will be assigned three months before your wedding, and if you haven’t met them already, your final planning meeting will be with them.

Timings

We’ll carefully plan your timeline together, and on the day we’ll gently guide you on when to do things like cutting the cake. It’s a fine line between being organised and drilling people – we don’t want to interupt your precious time with your guests so we keep as low a profile as possible. Of course you can ask for anything you need at any time.

That said, guests like knowing what’s happening, when (it helps them be in the right place at the right time too). An ‘Order of the Day’ sign is always a good idea, with the key moments of your day, with timings. It’s touches like this which aid a seamless and enjoyable celebration.

Confetti

We do allow the use of confetti, however this must be biodegradable and outdoors only. We know you know this, but not all your guests will, so please try to pass it on. If we spot that your guests have foil confetti or artificial petals, we’ll kindly take them and return them when they depart.

First Look

If you want to be the first people to see the barn after we’ve set up your wedding breakfast, please let us know during your planning meetings, and we’ll kindly request that your guests don’t enter. It’s not always possible depending on your timeline, but we’ll do our best.

Cutting the Cake

After your cake-cutting photos have been taken, we’ll take your cake to the kitchen, cut, portion and place it out with your evening food. It takes longer than you’d think! Except your first dance, this is your last ‘big moment’ – it signifies that the evening party can begin, and you can properly relax into the night in the company of your guests.

Sparklers

We allow up to 30 of your guests to use sparklers – it keeps things safer and makes for a more special, enjoyable experience for you and your nearest and dearest. You must tell us if you want to use sparklers during your planning meetings so we can arrange a suitable time and have water buckets to extinguish them properly at the ready. We (or your DJ or band) will make an announcement when it’s time to head outside for the fun!

Packing Up

The day after your wedding, your wedding spaces must be clear by 10am. We will have a dedicated team member to help you, taking down your decorations and having them ready for you to check, box up and remove. Please make sure everything goes home with you, including any boxes. If you are using gas canisters for anything these will also need to be taken when you depart. We have a special decor storeage room to make things nice and easy.

Guest Rooms need checking out by 10am, and please make sure guests settle their tabs before leaving.

Any signs you have used outside, or along the road leading in need collecting by 10am too.

Extend Your Celebrations

The day after can feel like a bit of a comedown, especially if everyone leaves by 10am. So you might want to think about extending things…

Breakfast Together

Invite any guests who didn’t stay in the guest rooms back for breakfast, arriving between 8.30am-9am. Our Full English with toast and drinks is £15 per adult, or £8 per child. Any additional breakfasts need to be booked and paid for at least two weeks in advance.

Simply visit our breakfast booking system, type ‘wedding’ where it asks for a promo code, and choose the ‘wedding experience’ from the list of options. Please remind your guests to book the morning after your wedding, not your wedding date itself.

Brunch or BBQ

If you’ve booked the Mocketts Farm Cottages, make use of the BBQ for a relaxed brunch or lunch together. If you haven’t booked the next night, be sure to check out the cost – it’s usually not too much extra to add on!

We recommend you provide the following decor:

Card Box

When guests arrive, the first thing they want to do is drop of their cards. We recommend you place your card box in the private pub, or in the corner of the barn. You may be interested in our vintage post box.

When your wedding day is over our team will make sure you or a parent have all your cards and gifts to take home, or to bed with you. They will make sure they have all been collected before you leave, to ensure we’re not left responsible for your precious gifts.

Table Plan

The bigger, the better! We have a beautiful rustic easel where you can mount your table plan. It’s fully adjustable to take any size. We find cardboard with a bit of weight to it tends to be better. Too thin and it can blow off, if there is a breeze from outside.

Your table plan will be positioned in the entrance to either Hop Barn or Spring Barn. We have also set up table plans outside before, especially if they are a focal feature.

Courtyard S’Mores Package – £150

Our courtyard fire is included with every Spring Barn wedding, and will be lit throughout the year (weather permitting), safely enclosed with a fire guard. For an extra touch of fun and sweetness, you can upgrade it with our S’mores package, with the fire manned for two hours and serving tasty treats between 8pm-10pm. Available from 1st March to 31st October.

Tractor Arrival – £250

Arrive in true country style with our Vintage Red Tractor. Available for trips from Harty Church or Mocketts Farm Cottages. There is a maximum of 10 adults per trip, but multiple trips can be made.

Getting ready on-site but still want the tractor for photos? We can park it up all day for £150.

LED Dancefloor – £500

The ultimate way to get guests on the dancefloor. Our White LED Dancefloor is a real crowd-pleaser for anyone who loves to dance.

LOVE Lights – White £150 / Wooden £175

These beautiful lights are approx. 4ft tall with warm bulbs to match the barn lighting. A perfect addition for amazing photo opportunities.

Signature Cake – £280 (100 portions)

A cake with a difference: Belgian chocolate brownie covered in your choice of flavoured icing – orange, salted caramel or malted white chocolate cheescake. Three deconstructed tiers, decorated with your flowers or seasonally available garden foliage.

DECOR DIMENSIONS

Top Tables

Top tables are 76 cm wide and 206 cm long. They seat 3 to 4 guests at each table.

Feature Top Table

The feature top table measures 228 cm wide and 206 cm long and seats up to 10 guests.

Round Tables

Round tables are 5ft for 8 guests or 6ft for 10 guests.

Rustic Dark Wooden Table

Rustic dark wooden tables are 6ft x 3ft and are typically used for cake, card, or gift displays.

White Clothed Table

These are 3ft x 3ft square wooden tables. They can be supplied with or without a white linen tablecloth, but you must confirm this in advance at your itinerary meeting.

Registrar Table

The registrar table measures 5ft x 3ft.

Oak Gazebo

The gazebo has seven sides, each 206 cm in length, giving a total length around the gazebo of 1442 cm.

Hop Barn

The Hop Barn measures 14m x 8m.

Hop Barn Patio Doors

The curtain rail to floor height is 208cm, with a width of 165cm. There are 4 sets of doors.

Hop Barn Windows

The rail to windowsill height is 152 cm and width is 102 cm. There are 2 windows.

Hop Barn Door Leading to Spring Barn

This door is 229 cm high and 152 cm wide.

Hop Barn Pillars

There are 6 pillars in total (3 pairs). From the walls to the first pillar is 203 cm, the aisle between pillars is 323 cm, and from pillar to pillar is 343 cm. Pillars are 2.3m high and 28cm wide. Fairy lights span the top of the beams and spiral down the pillars.

Fishbowls

The opening at the top has a diameter of 16cm, the height is 19cm, and the base width is 12cm.

Ceiling Hoops

Ceiling hoops are 4 ft wide (48 inches, or 122 cm).

Rose Garden Fencing

Each Rose Garden fence panel is 175cm wide. There are 3 sections of fencing: one with 2 panels, one with 3 panels, and one with 4 panels.

Rose Arch

The rose arch is 142cm wide and is the only entrance to the wedding patio area.

Flat Wedding Lawn

The flat wedding lawn measures 30 ft x 27 ft, making it ideal for hiring a bouncy castle or similar.

Dance Floor

The dance floor measures 16 ft x 16 ft.

Gazebo Arch

The gazebo arch is 18 ft wide.

Tall Glass Tubes

Tall glass tubes are 65 cm high, 14.3 cm wide, with an opening at the top of 13 cm.

Wedding Patio Area

The wooden fence to the marquee is 14.4 m, and from the Hop Barn doors to the wooden fence is 11 m. Spring Barn dimensions and the new patio spaces will be added once the build is complete.

DECOR DROP OFF

We’ll arrange a meeting with you to drop off your decor, usually 2–7 days before your wedding. Here you’ll meet with a member of the team who will be setting up the venue on the morning of your wedding.

Please bring everything except cut flowers, your cake, dresses and suits – we’ll walk through where you’d like it all to go.

This might include the following, if part of your styling: Table plan, table number/name cards, centrepieces and table decor, name place cards, activity packs for children, decor for the registrar signing table, card box, guest book and pen, order of the day signage, or any other decor pieces or personal touches.

Please make sure your decor and wedding items are removed by 10am the day after your wedding. If you accidentally leave something behind, we’ll let you know and keep it safe to collect within the next week.

ROAD SIGNS

If you’d like to put up signs up along the road to us, you’re very welcome, however please make sure you follow these instructions.

Please don’t put up signs before the day of your wedding. We recommend wooden signs – they hold up better in the wind and they’re in-keeping with the natural beauty of the landscape. Paper or card signs normally flap around in the wind, and are difficult for your guests to read.

Please include your names, not just ‘Wedding’ (there might be another wedding at the church).

Please don’t trespass to put them up, stick to the junctions we’ve marked here, and at the junction turning off the main road.

Finally, please make sure you take them down when you leave.

Breakfast is such a relaxed way to extend your celebrations and reminisce with your guests.

How to book

Breakfast is included for your guests staying in the Waterside and Coach House guest rooms. For your guests staying in the estate cottages, or elsewhere, they will need to pre-book and pay for their breakfast at least two weeks before your wedding date, so we can make sure you can be seated comfortably together in an appropriately sized room. Our Full English, with toast and drinks is £15 per adult, or £8 per child.

To book, simply visit our breakfast booking system, type ‘wedding’ where it asks for a promo code, and choose the ‘wedding experience’ from the list of options. Please remind your guests to book the morning after your wedding, not your wedding date itself.

Our two beautiful getting rooms are just the place to relax and enjoy getting aisle ready, photo-capture the pre-wedding excitement, and perhaps read a note your other half has given you (hint hint).

You’ll have complimentary use of both from 7am-2pm for full day weddings, or 9am-4.30pm for twilight weddings.

Each room has a hair-washing sink, shower, toilet, and mirrored make-up stations, plus a curtained dressing area for that ‘wow’ reveal moment. There’s also comfy lounge seating, a music system and drinks making facilities, although we recommend treating yourself to brunch and bubbles.

You are able to pre-order a delicious platter of pastries, sub or bacon rolls, fruit, Kent juices, and a menu of celebratory drinks (perhaps a cheeky cocktail or a bottle of fizz ready for when you arrive). Please speak to your wedding coordinator if you’d like us to arrange this.

On the day, we provide stickers for your personal belongings. Then our team can pop them to your room while you focus on celebrating the best day of your life.
